Planning and Development Services (PDS) Coordinator
We are seeking a highly organized and motivated Planning and Development Services (PDS) Coordinator to join our dynamic team. The ideal candidate will assist in coordinating, tracking, and ensuring the smooth execution of various projects. The PDS Coordinator will support the project management team with administrative functions, handle communication with stakeholders, assist in managing project schedules, and ensure project goals are met within deadlines and budget constraints. This role is critical to keeping projects on track, organizing resources, assisting with managing contracts, and fostering team collaboration.
Key Responsibilities:
- Ensure the PDS team adheres to timelines, deliverables, and quality standards.
- Maintain project documentation throughout all phases, ensuring accuracy and accessibility.
- Communicate project plans, actions, risks, and issues to stakeholders and PDS team members.
- Facilitate smooth coordination among the PDS team members and departments to resolve issues as they arise.
- Assist the PDS team with administrative tasks, including scheduling meetings, preparing progress reports, and tracking project performance.
- Organize meetings, distribute meeting notes, and manage follow-up actions.
- Manage day-to-day activities related to the PDS team’s tasks, ensuring smooth workflow and resource availability.
- Perform opportunity and risk analysis to support decision-making processes.
- Prepare and analyze project data to produce accurate progress reports.
- Assist Contract Manager in reviewing contracts for legal compliance and identify areas for improvement.
- Track and update agreements between businesses, ensuring all contracts are current.
- Follow up on contract renewals and maintain an organized record of all contracts, amendments, and related documents.
- Assist the PDS team with entering and maintaining project data in Quickbase, ensuring accuracy and up-to-date records.
Requirements and Skills:
- Bachelor’s degree in business administration, project management, or a related field is preferred.
- Minimum of 2 years’ experience in project coordination.
- Strong organizational and multitasking abilities.
- Excellent communication and interpersonal skills.
- Proficiency in Microsoft Office Suite and familiarity with project management software.
- Experience with data entry and management in Quickbase (or similar systems).
- Knowledge of contract management and legal compliance processes.
- Ability to work independently and as part of a team, ensuring projects are completed on schedule, within budget, and at the highest quality standards.
Preferred Qualifications:
- Experience with budget tracking.
- Familiarity with risk management and project reporting.
